“I didn’t start with a grand inspiration,” Rossana begins gently, her eyes reflecting both memory and intention. “Twenty-five years ago, when my mother fell ill with cancer, I left my marketing role at a large international company to care for her and needed flexible work—something quite hard to find then. I began organizing small events for foreign friends who loved Italy, and over time I realized how much I enjoyed creating meaningful celebrations. That experience naturally evolved into wedding planning.”

Today, that seed has blossomed into THEKNOTINITALY, guiding romantic celebrations across Italy’s sunlit landscapes.

The Beauty of a Global Canvas

The thread that runs through Rossana’s work is the worldliness it brings: every wedding is an intersection of cultures, personalities, and place.

The best part is how global it feels: I get to see stunning locations, connect with people from many backgrounds, and learn from different cultures. It’s like a big window on the world—and it makes every project unique.

She frames her role not simply as a planner, but as a curator of cultural exchange, blending a couple’s story with the soul of Italy.

Method Over Package: A Phased, Flexible Approach

In contrast to one-size-fits-all packages, Rossana employs a phased consultancy model—discovery, planning, design, vendor/venue sourcing, logistics, and day-of coordination.

“You can book one phase or the full journey. It’s flexible, transparent, and scalable to your budget.”

By structuring the process in digestible stages, she ensures clarity and intentional progression—no confusion, no overwhelm.

From Weddings to Italian Expeditions

Rossana’s services go deeper than orchestrating a single day: she offers travel mentoring, designing immersive experiences for guests of destination weddings.

“I love crafting Italian experiences for groups of friends coming to the wedding—booking hotels and transfers, arranging food and wine tours, beach or countryside day trips, cooking classes, and cultural visits—so your celebration feels like a shared adventure.”

Through that lens, the wedding becomes part of a grander tale of discovery and delight.

Sacred Lands of Sicily & Puglia

When asked about her favorite stage, Rossana speaks with soft conviction:

“Sicily and Puglia are our preferred areas.”

These regions, with their sun-kissed coasts, rustic masserias, and fragrant olive groves, embody the imaginative possibilities she loves to bring to life.

Contracts, Clarity & Confidence

A critical part of Rossana’s advice centers on concrete transparency in vendor agreements.

“Be crystal clear on what you’re getting and when—does the contract match your wedding day timeline? Choose vetted, insured professionals you trust. Double-check payment terms, cancellation policies, overtime, and backup plans. It’s worth investing in quality; it saves worry (and money) down the road.”

Her voice emphasizes that so much tension and confusion stem from vague expectations—she insists on clarity.

When Rain Threatens the Vows

Even in Italy, skies don’t always cooperate. Rossana leans on a clear philosophy:

One of my grooms once said, ‘Plan B is Plan A,’ because he didn’t want to think about a marquee. I get it—but I always recommend having a back-up. Weather in Italy can surprise you. Let’s design a Plan B you’ll love just as much: clear go/no-go timing, a beautiful covered/indoor option with proper flooring, lighting, and climate control, vendors ready to pivot, and a quick communication plan. That way, whatever the sky does, your day feels effortless.

Her calm acceptance of uncertainty becomes a gift to couples—no panic, just elegance in all conditions.

Battling Spectacle Culture with Authenticity

In an age of insta-perfect weddings, Rossana’s challenge is to preserve meaning.

“The market has shifted from planning a beautiful party to producing a spectacle. The challenge is managing expectations shaped by social media and avoiding one-size-fits-all clichés that don’t reflect the couple or the place.”

She follows a philosophy of fewer, better moments—curating experiences that resonate instead of overwhelm.

Budgeting with Honesty & Intent

Rossana’s budget strategy emphasizes alignment all along:

“The key is expectation management and clear priorities. Online inspiration often ignores real costs. We start with a realistic budget, rank must-haves vs. nice-to-haves, and make smart trade-offs (guest count, venue, date, design complexity). I track quotes against the budget, compare apples to apples (fees, taxes, overtime, delivery), and keep a 10–15% contingency. Fewer, better moments impress guests far more than ‘everything.’”

She transforms the dreaded “money talk” into a creative and strategic conversation.

A Timeline That Breathes

Her timeline advice is deceptively simple—but powerful:

“Start from the ceremony time and work backward/forward. Add realistic buffers (10-15%) between key moments and protect a 40-minute private pause for the couple—time to breathe, toast, or reset. Align vendor hours with the timeline, account for travel/setup, golden-hour photos, speeches length, and a clear weather/Plan B switch.”

That protected pause becomes a sacred part of the celebration.

Words for Planning Couples

Rossana offers a gentle reframing to those caught in the stress of planning:

“It’s not the best day of your lives—it’s the first of many beautiful ones. Keep perspective, enjoy the process, and focus on what feels true to you.”

Her advice underscores that the wedding is a beginning, not the conclusion.

A Company, Not a One-Woman Show

At the close of our conversation, Rossana clarifies something she feels strongly about:

I’m not a freelance. I run a real company with real employees — no remote work — real offices and rules like a real company.

She built a stable, structured business, not a passion project. With that foundation, she delivers consistency, reliability, and an elevated service clients can trust.
