"The first step in the planning process is to have a conversation with the clients to understand the experience they want to create and the memories they wish to leave for themselves and their guests. Once we have a clear vision of the desired experience, we review the budget to align with their goals," says the planner. With the budget in place, the process includes several key steps:

  1. Finding the right location that fits the client’s preferences, priorities, and budget.

  2. Presenting vendor options that align with the couple’s vision and needs.

  3. Design development to ensure all visual elements reflect the couple’s style.

  4. Presenting their timeline, which they share six weeks before the event to ensure every detail is planned.

  5. Executing the wedding, bringing all the planning to life seamlessly on the big day.

"We love working with several exclusive venues in Los Cabos, Todos Santos, and the surrounding areas, including beachfront resorts, private villas, boutique hotels, and unique restaurants," the founder notes. Each venue is chosen not just for its beauty but for its ability to harmonize with the couple’s vision, ensuring the setting perfectly complements their special day.

Overcoming Challenges 

"One of the biggest challenges has been dealing with the unexpected, especially when it comes to weather," the planners admit. They elaborate on the necessity of adaptability: "Despite meticulous planning, weather conditions can change suddenly, which requires quick thinking and adaptability." They emphasize that learning from these experiences has been invaluable, highlighting the importance of being prepared for any situation while maintaining a calm and adaptable demeanor.

Key Expert Advice 

Regarding vendor contracts, the planner advises, "My main advice for couples is to let the wedding planner guide the process. It’s essential to allow the wedding planner to conduct and review all the elements of each contract. This ensures that all details are thoroughly checked, potential issues are identified early, and everything aligns with the overall vision and budget." 

For weather-related challenges, especially during Los Cabos' hurricane season, the planner suggests, "I suggest avoiding the months of August and September in Los Cabos, as this is hurricane season. If planning a wedding in the months close to this period, such as July or October, I recommend ensuring the venue has a solid Plan B. This includes having an indoor space or a covered area available in case of unexpected weather changes."

"Staying on budget involves setting clear priorities and understanding what is most important to the couple. Once we cover the essentials and identify their top priorities, we can see if there’s room in the budget for additional services that may be less important. Alternatively, if the couple decides to increase the budget during the planning process, we can adjust accordingly," the founder explains, which helps in prioritizing essential aspects and understanding where the budget can be adjusted. 

On timeline management, "We usually do is send a draft timeline based on our conversations, Zoom calls, and emails with the couple. This draft highlights the important moments throughout the day. Once they review it, they have the opportunity to analyze whether it follows the order they prefer—whether it’s a traditional protocol or something different—or if they want to incorporate any other significant events," the planner adds. “It’s important to be clear about the number of hours allocated in the budget, such as the hours for the open bar, venue rental, photography, and videography. Ensuring these key moments are covered, whether by photo, video, or both, is essential. Additionally, it’s important to communicate these details clearly to the photographer, videographer, and any social media content vendors to make sure everyone is prepared to capture the most important moments of the day.”

The planner's final advice to couples is heartfelt and straightforward: "My first advice is to enjoy the process and trust in the professionals you choose. If you’re planning a destination wedding, the first step should be to hire a wedding planner. It’s important to carefully select a planner you trust to bring your wedding vision to life. A wedding planner will guide you through the entire process and present the best options for your special day.
